30-day window: 30 days is long enough to make customers feel confident (boosts CVR 10-20%) but short enough to prevent abuse. 14 days is too short (hurts CVR). 90 days is too long (increases return rate without boosting CVR further).
"You don't need to return defective products": This sounds generous but is actually cost-effective. Return shipping from the US to China costs $15-$30 — often more than the product cost. Letting customers keep defective products saves you return shipping and turns a negative experience into a positive one.
"Customer pays return shipping for changed-my-mind": This is standard and customers accept it. If you paid return shipping for all returns, your return rate would double — many customers would return products just because returning is free.
"3-5 business day refund processing": This gives you time to verify the return was received in acceptable condition. Immediate refunds (before receiving the return) are risky — customers may claim they returned something they didn't.
"12-hour cancellation window": This gives customers a short window to cancel (which builds trust) without disrupting your fulfillment process (orders are usually sent to suppliers within 12-24 hours).
How to handle returns to minimize cost
For dropshippers, returns are expensive because products ship from China. Here's how to minimize return cost:
- Don't require returns for defective products — let customers keep them. Return shipping costs more than the product.
- Offer store credit instead of cash refunds — "We'll refund 110% as store credit." This keeps the money in your business and often results in a higher-value second order.
- Use a local return address — if you're in the US, accept returns to your home address and reship them in bulk to China (or just dispose of them). Customers are more willing to return to a US address than a China address.
- Inspect returns before refunding — don't refund until you've received and inspected the returned product. Some customers return used or damaged products claiming they're new.
- Track return reasons — if a specific product has a high return rate, investigate the cause (quality issue? misleading photos? wrong size chart?) and fix it.
How to reduce return rate
The best return policy is one you never have to use. Reduce returns by:
- Accurate product photos — don't use misleading supplier photos. Take your own or edit them to match the actual product.
- Detailed product descriptions — include dimensions, materials, colors, and any limitations. Don't hide information that might cause returns.
